A marked item is your own review record. It does not confirm carrier acceptance, label compliance, customs clearance or account activation.

Prepare supplier receiving details

Choose the account and shipping tools

Billing, label creation and integration have different roles. These are official product descriptions; confirm eligibility and enabled services before implementation.

Click & Drop

Process orders, apply postage and print labels. Supports personal users and OBA holders, marketplace connections and spreadsheet imports.

Our setup checks

Check the order source, available services, trading names, printer templates and the account used for billing.

Online Business Account (OBA)

Manage business billing, payments and reports. Royal Mail recommends a shipping solution such as Click & Drop for creating orders and labels.

Our setup checks

Confirm the posting account, access permissions and who reconciles invoices with dispatch records.

API Shipping

Connect an existing system to Royal Mail shipping. Published onboarding covers a Business Account, approval and testing in a sandbox; an experienced IT team is needed.

Our setup checks

Our setup checks

Confirm current qualification and the proposed setup with Royal Mail before planning a migration.

The seven dispatch checkpoints

Keep each record tied to the event it actually describes. A shipping system status and a physical carrier event can occur at different times.

  1. Order data

    Royal Mail guidance

Click & Drop can receive orders from supported channels, manual entry or file imports. Its New status means no packaging type or shipping service has been assigned yet.

    Jeton operational recommendation

Jeton recommends linking the customer order to the final parcel and consolidation reference, then validating the approved address before applying postage.

    Prepare supplier receiving details
  2. Service & postage

    Royal Mail guidance

Postage Applied follows packaging, weight and service selection. For personal Click & Drop customers, payment occurs when labels are generated; OBA processing uses the account workflow.

    Jeton operational recommendation

Jeton recommends checking the booked product against the final packed measurements, contents, route and account conditions. Similar product names can provide different tracking.

    Compare product conditions
  3. Label quality

    Royal Mail guidance

Click & Drop offers A4 and 6 × 4 label templates. Its manifest guidance requires clear, readable label text and barcodes. Use the current template and printer instructions for the actual output.

    Jeton operational recommendation

Jeton recommends comparing a printed sample with the original file, checking for clipping or distortion, and matching the label to the right parcel before release.

    Inspect visible label data
  4. Manifest

    Royal Mail guidance

For OBA orders, manifesting informs Royal Mail that the mail is ready for dispatch and account billing. The paperwork accompanies the mail. Tracked-only manifests can have no OBA sales order number because billing starts at the first network scan.

    Jeton operational recommendation

Jeton recommends matching the selected batch to the parcels physically ready. Keep held or changed orders separate and follow the official recovery instructions for failed or emergency paperwork.

  5. Physical handover

    Royal Mail guidance

Royal Mail can receive shipment advice before receiving the item. A label or completed manifest records preparation; use the relevant receipt, collection record or carrier event to investigate physical acceptance.

    Jeton operational recommendation

Jeton recommends keeping the handover date, location and available acceptance evidence with the parcel-to-batch mapping. Record Guangzhou release and UK carrier handover as separate events.

    Open the carrier tracking options
  6. Tracking enquiry

    Royal Mail guidance

An early expecting-item message can mean the sender has shared information but Royal Mail has not yet received the parcel. Product tracking and delivery-confirmation records differ.

    Jeton operational recommendation

Jeton recommends preserving the exact event text and time, booked product and posting evidence. Assign one enquiry owner and ask for the missing milestone instead of guessing a location.

    Prepare a tracking enquiry
  7. Returns & receiving

    Royal Mail guidance

The Click & Drop Returns Portal is configured by trading name and requires approval before activation. Customer options depend on the enabled settings, such as print-at-home labels, QR label printing or collection with a label.

    Jeton operational recommendation

Jeton recommends linking a separate return reference to the original order, retaining posting evidence and inspecting the received goods before a stock decision. Confirm Edinburgh receiving and any onward return scope in advance.

Royal Mail questions before the next step

Check the booked service, the latest carrier information and the relevant dispatch records before deciding what to do next.

How do business mailbag labels relate to parcel labels and manifests?

For business-account mail, a bag label identifies its service grouping and does not replace each parcel’s barcode and address. Royal Mail lists different bag-label supplies for Royal Mail 24/48 and Tracked 24/48. Use the instructions for the booked product and account; these are not universal bagging requirements for Personal postage.

Our practical recommendation is to link the actual contents of each bag or container to its parcel references and the orders covered by the manifest. Recheck that mapping when items move or remain behind, and record physical handover separately. Do not assume one software batch equals one bag or that every bag needs its own manifest.

How can I check a business invoice weight or format charge?

Start with the invoice line and detailed correction-charge information in Royal Mail’s electronic invoicing service. Our practical recommendation is to match it to the account, service, posting date, actual posted label reference and manifest. Compare the declaration with the complete package: Click & Drop requires the combined weight of the product and packaging.

Royal Mail’s OBA guide describes an invoice query icon, a reason and comments, with responses viewed through a document icon. Use this route where it is available in your account. Its Contact Support page directs OBA billing questions to business help. Keep this enquiry separate from a Personal label refund or a recipient’s Fee to Pay notice; confirm any credit rather than assuming a query approves it.

Why is my shop still unfulfilled or missing tracking when Click & Drop says Despatched?

Check the matching shop order, integration and parcel reference: a local Despatched state does not by itself verify the update in the shop. For eBay, Royal Mail says Click & Drop automatically retries after four hours if eBay has not responded to an update attempt. This does not establish a universal retry time or a manual resend button for other channels.

For Shopify, check the channel dispatch option, selected store location and product location. The tracking troubleshooting guide also asks whether the order was fulfilled by you or other software before Click & Drop marked it Despatched, and whether the service and package size provide tracking numbers.

For WooCommerce, inspect the tracked-service order note separately from the store email and Royal Mail delivery notifications. The note route requires the channel dispatch and tracking-note settings; delivery confirmation numbers are not passed by that method. Saving a template does not establish that a past update or email has been resent.

What should I check before dispatching combined or split Click & Drop orders?

Check every original sale and its product quantities against the finished parcel. A merged order reaching Despatched updates all original store orders when that integration’s channel dispatch setting is enabled; eBay requires this setting. Do not assume the grouped update represents goods still held. Inspect the actual store status and buyer-visible tracking after dispatch.

A clone is a manual-channel copy with tracking removed and a new label required; it does not establish automatic split-line updates to the original store order. The native multi-package route is for Parcelforce on OBA accounts, and multiple-package orders can only use Parcelforce services. Keep each parcel’s quantities, final label and actual handover linked to the original sale, and check the result on the channel.

Royal Mail did not collect my parcel. Should I rebook or buy postage again?

First check the collection confirmation and whether you still hold the parcel. Royal Mail has a booking route for already-purchased postage and pre-paid returns; a failed visit does not by itself require a second label purchase. Its non-account Parcel Collect terms provide free rebooking of a failed collection, with separate refund conditions. Check the existing label and confirm the new booking.

If switching to drop-off, check the product, location services and usable postage label first. Bring my label for a collection is not a promise of printing at every drop-off point. Business account customers must also check their agreed handover route: on-account Tracked items incorrectly presented at consumer sites can attract a surcharge where the agreement already includes free collections.

Can I correct Click & Drop weight, size or address details after buying postage?

If the parcel is still with you, hold it while you compare the finished package and destination with the order. Personal customers cannot change an order after paying for and generating its label. Follow the official refund guidance for an erroneous label; a request is not an approval.

OBA customers can reset before Manifested, then apply correct postage and generate labels again. Labels from the reset order become invalid and must be destroyed. After manifesting, use the appropriate business adjustment or support route. The Sales Order form excludes Tracked 24/48 amendments: those items are billed at their first mail centre scan, not on manifest.

If the item has already been handed over, changing a shipping record does not recover it. Eligible business customers can check Stop & Return for an undelivered item in a stoppable state. This requests an attempt to return it to the sender; it does not change the delivery address or guarantee interception.

Where can I find help for a missing Click & Drop verification email?

Use Royal Mail’s activation and password-reset guide for registration or reset emails, and its MFA guide for sign-in codes. These are different access steps. For further Click & Drop assistance, use the official Contact Support page.

Does a Click & Drop label or manifest prove Royal Mail has received the parcel?

Label Generated is a preparation stage. For Online Business Account (OBA) customers, manifesting creates handover paperwork and sends billing information to OBA. Royal Mail also states that Tracked services are billed when the mail is first scanned into its network.

Keep the label and manifest separate from evidence of actual collection, posting or carrier acceptance. We recommend matching the order and parcel reference with the physical handover record before saying Royal Mail has received the parcel.
