Royal Mail manifests: reconcile the paperwork with the physical handover

Manifesting records dispatch readiness and billing information

Royal Mail’s Click & Drop guidance describes manifesting as telling it that your post is ready to dispatch and that the relevant OBA billing process can proceed. The manifest paperwork accompanies the mail to the collection driver or Post Office. That administrative step is useful evidence of what the sender prepared. It should be read alongside evidence that the parcels were physically handed over and accepted.

This distinction matters when a customer sees an early tracking message. A completed manifest does not answer every question about an individual parcel’s location. Likewise, a warehouse report marked dispatched may record an internal release rather than the carrier’s acceptance. Maintain a sequence covering label generation, preparation, paperwork, handover and the available carrier events. Each record should explain the event it actually represents.

Reconcile the physical parcels before closing the batch

Our recommended end-of-day check starts with the parcels ready to leave, rather than the total number of labels printed. Match each final parcel to its order and shipping reference. Identify held orders, cancelled bookings and parcels that were repacked or divided. A label for an unfinished parcel can remain in an eligible software status even though the item is still on a packing bench.

Click & Drop supports manifesting eligible batches selectively as well as manifesting all eligible orders. Check the selection against the actual dispatch plan. Its official instructions also ask you to confirm that the mail does not contain prohibited or restricted goods. Apply that check to the goods and service, then retain the manifest number and parcel list with the collection record. A correct quantity without correct parcel identities is difficult to investigate later.

  • Keep the manifest identifier and paperwork with the dispatch record.
  • Record actual handover separately from label and manifest creation.

Keep parcel labels and business bag labels distinct

A business mailbag label identifies the service grouping in the bag; it does not replace the labels on the parcels inside. Royal Mail’s UK business parcel guide requires a readable barcode and correct destination address on each item. Its supplies page lists separate PPI bag labels for Royal Mail 24/48 and Tracked bag or York labels for Tracked 24/48, and restricts some consumables to specified products. Our practical recommendation is to confirm the booked product before choosing supplies and to check the individual labels as well as the container label.

The guide gives different preparation instructions for these business products. Royal Mail 24/48 items are divided by speed and format, with the bag’s content box identifying Large Letters or parcels. Tracked 24/48 items are divided by speed, with Tracked Letterboxable separated from Tracked Parcels, loaded into agreed equipment and identified by the appropriate Tracked label. Apply the relevant product and account instructions; do not extend this business presentation workflow to every Personal postage purchase.

Link each container’s contents to the dispatch paperwork

Our practical recommendation is to record which final parcel references are inside each bag or container, alongside its service grouping and actual item count. Compare that contents list with the orders covered by the manifest before release. Click & Drop permits selecting one or more eligible software batches for manifesting; keep the physical-container mapping explicit rather than assuming a software batch equals one bag. If an item moves between containers or stays behind, update your internal contents record so the label on the container, its load and the paperwork remain consistent.

For Royal Mail 24/48, the guide says the end-of-day manifest or sales order summary must reflect the entire daily posting, with a Customer Collection Receipt for each collection when there are several. This is a reason to preserve links between collections and daily paperwork, rather than invent a separate manifest requirement for every bag. Additional geographical sorting applies where agreed with the local Mail Centre. Follow those instructions and the agreed equipment and goods requirements, then record which containers actually left and retain the corresponding handover evidence.

Understand automatic manifesting and Tracked billing

The reviewed Click & Drop help page describes an automatic weekday process for orders ready to be manifested and billed. This is a software process, so its completion should not be used to create an invented collection timestamp. Check your current account settings and the official help page when planning dispatch deadlines. Record when the collection or drop-off actually happened under your agreed posting arrangement.

The same guidance says that a manifest containing only Tracked services does not display an OBA sales order number, because those services are billed when the mail is first scanned into Royal Mail’s network. A blank OBA order-number field therefore needs to be interpreted in the context of the service. It is different from a failed manifest, and it does not justify creating another set of labels for parcels already prepared.

Use the documented recovery route for manifest problems

A failed manifest means an error prevented correct processing. Royal Mail’s instructions direct users to Regenerate, with support needed if that attempt does not resolve the issue. An emergency manifest is a different condition associated with difficulty contacting OBA. The help page explains that Royal Mail’s support team repairs these records; the corrected administrative date can differ from the original dispatch date.

Where normal paperwork cannot be created, the official guidance provides emergency paperwork and explains the need to complete the outstanding software manifesting after the issue is resolved. Use the linked instructions for the precise situation and contact support when reconciliation remains unresolved. Our recommendation is to save the original paperwork, error, parcel list and actual handover time together so that a later repair does not erase the operational history.

Keep handover evidence useful for parcel enquiries

For each collection or drop-off, retain the evidence available under the agreed service: the relevant receipt or collection record, date, location, manifest and parcel identities. Do not describe an unsigned document printed before collection as proof that a driver received the load. When evidence only covers a batch, preserve the parcel-to-batch mapping so an individual order can be located within it.

A China–UK consolidation needs an additional distinction. The Guangzhou release may cover a transport batch, while the Royal Mail manifest relates to the UK parcel stage. Link the final UK references to the overseas batch and ask the provider which party completed the physical UK handover. If the order first reaches Edinburgh stock receiving, record that receipt separately from any subsequent customer dispatch. This makes enquiries about missing first scans specific and actionable.
