Royal Mail “sender preparing item”: what China–UK sellers should check

Reconcile warehouse, air-movement and Royal Mail references, request the missing handover evidence, and give customers a factual China–UK dispatch update.

Read the exact carrier message before interpreting dispatch

When an order says sender preparing, open the official Royal Mail result for its item reference and record the exact wording. Royal Mail explains that “We’re expecting it” and “Item despatched to Royal Mail” reflect advice from the sender, with tracking updated after processing. A marketplace dispatch email and a carrier event describe different records; their dates should not be merged into one acceptance milestone.

Royal Mail also says a seller can create a number before handing over the item. Treat an early message as a reason to confirm the missing step, rather than proof of a fixed location or loss. Its Pending guidance includes items still with the sender, travelling towards Royal Mail or awaiting processing at a facility. The message alone cannot settle which situation applies to your parcel.

Link three reference types to the original customer order

Our recommended merchant record keeps three reference types connected to the customer order: origin receiving, international movement and UK delivery. A supplier courier number or Guangzhou intake reference identifies the origin work. An airway bill or consolidation reference concerns the international movement. The Royal Mail item reference belongs to the final postal parcel. An internal order number links these records; it does not replace any carrier identifier.

Record which final carton contains the order and which batch carries that carton. A freight batch can contain several customer parcels, so its movement record does not establish acceptance of each Royal Mail item. After consolidation, splitting or repacking, reconcile parcel counts and final label references. Retain earlier references with their recorded relationship instead of overwriting them when a replacement label appears.

  • Delivery reference: the final Royal Mail item, linked to the order.

Check the Guangzhou-to-LHR chain one stage at a time

Jeton Express’s stated China–UK route connects Guangzhou preparation with CAN using China Southern CZ / 784 or HKG using Cathay Pacific CX / 160, then London Heathrow LHR, UK partner clearance and handover, and Royal Mail delivery. These are route and airline identifiers, not evidence that a particular parcel has departed. Confirm the actual booked movement and its supporting record with the dispatch team.

Our recommended sequence separates supplier arrival, warehouse release, international departure, UK arrival, clearance and Royal Mail handover. Ask who can substantiate each event and retain its date and reference. An arrival record does not establish clearance; clearance does not establish Royal Mail acceptance. If goods first enter Edinburgh stock, distinguish that receipt from the later customer parcel prepared for UK delivery.

Ask the responsible sender for a specific missing record

Royal Mail recommends contacting the sender when a reference has existed for more than a day without tracking information, asking whether the number is correct and the item has been passed over. This is an enquiry prompt, not a one-day China–UK transport promise. For a merchant account or consolidator booking, identify the party that arranged the relevant handover and can obtain its records.

Our support request records the order, final parcel reference, complete booked product, last confirmed event and unresolved milestone. Ask for the actual handover date, location and applicable posting, collection or carrier receipt evidence. Keep a prepared manifest, warehouse release and physical acceptance record labelled according to their own purpose. Name one enquiry owner and the next review action so the seller, warehouse and UK partner do not investigate different parcels.

Resolve an unrecognised reference without guessing a replacement

An unrecognised number and a recognised early message require different checks. Royal Mail says its references contain 9–27 characters and can be found on the label or posting receipt. Compare the supplied number with that original record and confirm the carrier and service. A warehouse, marketplace or airway-bill reference may be useful elsewhere without being suitable for Royal Mail tracking.

Our local label reader helps inspect supported barcode text and S10 structure, but a successful format check cannot prove purchase or acceptance. Check the full product too, because the visible scan history depends on the service. Royal Mail’s inbound postal guidance distinguishes UK tracking from information offered by the origin postal authority; a commercial China–UK consolidation may additionally rely on provider movement records.

Give the customer a factual update and retain the outcome

A useful update states the latest substantiated event and what remains unresolved. For example: “Your UK delivery reference has been assigned. We are checking the physical Royal Mail handover record with the dispatch team.” Add a confirmed Guangzhou release or international event separately when available. Do not translate sender preparing into flight landed, customs cleared or a promised delivery date.

When new evidence arrives, identify the stage it establishes and review the actual carrier history again. An early message does not determine a delay claim or compensation entitlement.
