Record the exact sold item before packing begins

Start with the sold item or bundle and its order reference. For second-hand goods, a generic stock description may not distinguish two similar pieces. Our recommended item record captures size, colour, recognisable features and included components, using the seller’s existing listing and a check of the actual piece. Keep the condition described in the listing separate from what is observed at packing.

These individual questions explain the need for preparation records, not a finding about either carrier. The goal is to identify what was packed and how, without pretending that a photo proves every later event.

Document condition and components without rewriting the sale

Before sealing, compare the actual item with its listing description and disclosed flaws. Our suggested photos show the whole item, identifying details and relevant condition or damage, rather than only an attractive front view. For a bundle, use a simple inventory showing every included piece. Note missing accessories or an unexpected discrepancy while the item is still available for a direct check.

If the piece does not match the sale, resolve that issue through the order before dispatch. Do not use a packing photograph to introduce an undisclosed flaw after the buyer has paid. Retain the original listing record and a dated packing observation so later enquiries can distinguish an existing feature from something newly reported. Describe what the image shows; avoid claiming it establishes when unseen damage happened.

Choose protection for the item and the booked parcel format

Vinted’s packing guidance calls for sturdy outer packaging that fits the contents, cushioning to fill gaps and strong sealing tape. For fragile items, it describes a sturdy box and individually cushioned pieces, with fragile marking. Its label instructions require a flat placement on the largest side, a visible barcode, secure edges and removal of old labels. Check any item-specific requirements and the actual carrier’s limits.

Our practical review takes place after adding protection: check the finished weight and dimensions against the selected parcel instructions, ensure contents cannot move freely, and inspect the closure. Reused packaging needs a fresh condition check, especially at seams and corners. A photo of a sealed parcel cannot demonstrate the protection hidden inside, so record the packing stage before closing where that detail is relevant.

Take a few useful photos at identifiable stages

Vinted recommends photos of the item and the packed parcel, including inside and outside, to help with transit issues. Our suggested sequence adds context: item identity and condition, protective packing before closure, then the sealed exterior. Store these under the order reference with the preparation date. Photograph after any repacking, so the record describes the parcel actually released rather than an abandoned earlier version.

Keep the record proportionate to the item and agreed handling process. A continuous video or numerous nearly identical images is not a guaranteed way to win a dispute. Preserve the relevant originals privately; share only what the platform or carrier needs through its support route. Labels, full addresses and contact details should not appear in public blog examples, group posts or customer updates.

Connect the final parcel to its label and physical handover

After printing the current label, make the final item-to-order-to-parcel check. If a QR is used to obtain that label, keep the parcel identifiable through the printing step. An image of a code on a phone is not a record of the finished addressed parcel.

Retain available posting or collection evidence alongside the preparation photos. These records describe different stages: packing, internal label checks, physical handover and later carrier events. State which are available if tracking does not update. If a prepared parcel remains with the team because the label failed, keep that exception visible rather than treating a packing photo as evidence that the order was sent.

Use the record honestly when an arrival problem is reported

If a buyer reports damage, missing contents or the wrong item, compare their observation with the dispatch record and use the order’s issue-reporting instructions promptly. Check the live deadline before waiting for a warehouse review. For reported transit damage, Vinted’s refund policy asks for issue and packaging photos and preservation of packaging until the case is resolved. Its shipping-issues guidance makes compensation conditional, including carrier-confirmed loss or damage and appropriate packing.
