Keep the sold item, code and parcel together
When several Vinted orders are ready, process each parcel against its own order before handover. Our recommended sequence is to select the sold item, open that order’s label instructions, prepare the parcel and check the final Royal Mail reference. A phone containing several QR codes and a pile of similar parcels need a reliable matching step; the number of codes alone does not reconcile the dispatch.
Public Reddit discussions retrieved through Arctic Shift illustrate the questions behind this checklist. One Vinted UK seller who had sold three items asked how to keep Royal Mail codes paired with multiple parcels. Another asked how to organise several codes at handover, while a third reported noticing the wrong label after placing a parcel in a Royal Mail locker. These are individual, unverified questions and reports. Our practical inference is to make parcel identity clear before release, without treating community replies as carrier instructions.
Use the instructions attached to the actual order
Royal Mail’s Vinted page describes a label link and posting instructions after the buyer selects its service. The seller can print at home or use the supplied QR code for label printing and drop-off at a Royal Mail shop or Post Office branch. Check the instructions supplied for your order before choosing the location. A generic QR screenshot does not establish that every shop, locker or collection route can print that label.
Vinted’s label help says a generated label cannot be swapped for a different carrier or drop-off method. If the code or label fails, use that help article and the order’s current support options. Keep the parcel identifiable while the problem is resolved. Avoid treating privately purchased replacement postage, an edited label or a different carrier as an agreed repair for the Vinted booking.
Create one dispatch row for every final parcel
Our suggested dispatch row connects the Vinted order reference, exact item or bundle, temporary parcel identifier, selected carrier, final label reference and handover record. The temporary identifier is a packing aid for the team; it does not replace the carrier barcode. Use it to keep a parcel associated with its order while a QR code is converted into a printed label, then check the final pairing again.
For second-hand items, a broad stock description such as black jacket may be insufficient to identify the sold item. Use your item record to distinguish its size, condition and other relevant details. Keep separate orders separate in the preparation record. If a sold bundle needs an exception to the supplied parcel instructions, resolve that exception through the appropriate platform and carrier route before dispatch.

- Parcel and final label: confirm which packed parcel carries the reference.
- Posting route and evidence: record what was physically handed over.
- Follow-up owner: name who reviews an unmatched or unchanged order.
Check the final parcel after printing or repacking
Vinted’s packing guide calls for protective outer packaging, cushioning and secure sealing. It instructs sellers to apply the label flat with a visible barcode and remove old labels. It also recommends photos of the item and packed parcel to help with transit issues. Read its item-specific requirements and the carrier’s instructions rather than assuming one packing method suits every sold item.
Our final check takes place after packing changes and label printing. Confirm that the parcel still contains the correct sold item, the label is the one assigned to this order, and the packed measurements fit the selected instructions. Keep only the current usable shipping label on the exterior. If the order and printed label appear inconsistent, retain the records and obtain clarification before release instead of handwriting an assumed correction.
Separate the warehouse check from physical handover
An agreed warehouse scan can link the parcel, order and label in the handling record. Physical handover occurs when that parcel enters the selected posting or collection route. Carrier tracking is a further record generated by Royal Mail’s processing. Our recommendation is to keep all three stages visible so a label check is not used as evidence that the carrier has already accepted the item.
At handover, reconcile the actual outgoing parcels against the prepared order list. Retain available receipts, collection confirmations or other route-specific records with their corresponding parcel references. A batch total may show how many parcels left the team while failing to identify which receipt belongs to which order. Review missing references or unexpected duplicates individually and identify the unresolved record for follow-up.
Give a UK fulfilment team a complete receiving brief
If eligible items are held by a UK fulfilment team, provide the item list, stock location, sold-order references, packing requirements and current label instructions. For individual second-hand goods, agree how the team distinguishes each unique item and records a return. Keep the incoming stock receipt separate from a later customer-parcel dispatch. Receiving an item into storage does not establish that its Vinted order has been sent.
Check the account, item and selling model against Vinted’s current Catalogue Rules before agreeing the work. Warehouse handling does not establish platform permission. Release the matched parcels and keep exceptions visible

Keep parcels with a missing code, ambiguous item identity, unsuitable packaging or unresolved label question separate until instructions are confirmed.
