Cartons or pallets for UK stock: prepare the receiving brief first

Compare carton and pallet options using the same measured goods, delivery address, receiving appointment and unloading scope.

Compare cartons and pallets using the finished load

Start with the product quantities and work outward to the transport packages. Record SKU units, units per carton, carton count and pallet count where applicable. Measure each finished package, including the pallet, wrapping and protective materials. Keep carton identifiers linked to pallet identifiers so the recipient can reconcile a partial delivery. Record stackability, overhang, unusual shape and any protection requirements. Revise the measurements whenever the warehouse changes the arrangement.

Ask for carton and pallet quotations against the same collection point, destination and receiving scope. A larger order does not automatically make pallet transport cheaper. Compare the actual charging unit, minimum, included handling, booked service and validity period. Identify loading, unloading, appointment and exception costs as separate confirmation questions. A depot-to-depot price and a quote covering an agreed warehouse receiving appointment describe different work. Approve the option that fits the final load and the activities it requires.

Check the route to the unloading point

A postcode identifies an area, while a delivery brief should describe how the booked vehicle reaches the actual receiving point. Record the site address, gate or entrance, receiving hours, contact numbers and known restrictions. Include narrow lanes, low bridges, road weight restrictions, turning space, parking controls and pedestrian access. Provide relevant photos or a site diagram when the carrier requests them, and obtain confirmation of the proposed vehicle arrangement before release.

The Pallet Network's vehicle guide requires level ground for its tail-lift operation and hard, even surfaces for pump-truck movement; it identifies gravel, grass and similar surfaces as unsuitable for that equipment. Use this to identify concrete questions about your site, rather than treating a residential address as automatically acceptable. Record the surface and slope at the proposed unloading point, plus steps or kerbs along any onward route. An alternative vehicle or receiving location needs the carrier's review.

Agree the equipment and the handover boundary

Specify who supplies loading and unloading equipment and who operates it. The Pallet Network guide says a site needs a forklift when freight is unsuitable for its tail-lift offload. For your booking, confirm the measured load, vehicle aperture, unloading method and site capability together. Record whether a tail lift, site forklift or another reviewed arrangement is required. A network's pallet category and a vehicle's unloading capability describe different limits; confirm the applicable combination without borrowing a number from another carrier.

Confirm the appointment and the recipient's readiness

For marketplace stock, obtain the current shipment-plan destination, labels and appointment instructions from the account owner. Record the booking party, receiving reference, confirmed date or slot and contact who can resolve a change. For another business site, confirm the receiving team's hours and required notice. Record when the details were confirmed and how the sender, carrier and recipient will learn of a revised arrangement. A carrier enquiry and a completed receiving appointment are separate records.

Ensure the recipient has a signing contact and the agreed equipment available before the vehicle arrives.

Handle a failed attempt with a specific decision record

When an attempt cannot proceed, record the time, carrier reference, affected pallets, reported reason and last confirmed location. Distinguish recipient absence, access or equipment problems, appointment mismatch, unsafe packing, damage and a refusal reported by the receiver. Do not assume these lead to the same next action. Palletways Online's terms describe refusing unsuitable freight or access and arranging another attempt after failure, with charges in defined circumstances. Ask the responsible carrier contact what remains needed before another attempt can succeed. Reconfirm the address, access, appointment, equipment and recipient availability as relevant. Obtain approval for additional transport or handling, and record who can authorise a new destination or return. Correct the underlying gap before rebooking. The exception record should identify the next responsible party and the evidence required to close the case, rather than merely changing the expected delivery date.

  • Attempt: date, time, pallet IDs, carrier event and reported reason.
  • Decision: reviewed options, costs, approving contact and instruction.
  • Reattempt: corrected receiving details, new booking reference and confirmation.

Reconcile transport receipt with warehouse acceptance

At dispatch, retain the final load list, packing version, collection record and available handover evidence. At delivery, retain the proof of delivery and any observed quantity or condition differences. Follow the booked carrier's instructions for recording visible damage and notifying the responsible contact; a general note in your stock system may not complete that carrier's reporting process. Keep photos or inspection records within the agreed scope and connect them to the affected pallet identifiers.

Compare the dispatch list with the recipient's actual count and later stock acceptance. A carrier completing kerbside transport does not establish that a marketplace has accepted every product or that warehouse checks are complete. Reconcile partial receipts, held stock and returned pallets separately. Bring the final measurements, site and equipment brief, appointment details and exception contacts when discussing UK pallets with Jeton Express.
